General Overview of Workshop

A 2-day practical, vendor neutral workshop on planning for an EHR implementation. Specific focus will be given to workflow and requirements analysis, HIPAA security, business continuity planning, system selection and vendor contracting, system implementation and training. The workshop will also cover advanced topics focused on post implementation evaluation and the use of EHR for quality improvement. During the workshop participants will review and discuss EHR selection guidelines, sample RFPs, contract checklists, project plans and other relevant implementation tools.

Community Health Access Network (CHAN) of New Hampshire and the Maine Primary Care Association (MPCA) will share the expertise of their Network staff who have hands-on experience in planning and implementing electronic health records systems. In addition to CHAN and MPCA staff, other experts will share perspectives of a wide variety of EHR systems to give participants the broadest decision-making possible.

Participants will be able to leave the workshop and:

  • Maximize the use of electronic data to improve quality
  • Guide their organization through the vendor selection process
  • Describe elements of successful planning and/or implementation of electronic health records

Day 1

Welcome and Overview

Planning for a technology implementation
8:30am - 10:00am

Learn how your organization will assess organizational readiness, including financial readiness and the implications of conversion to an EHR. This session will provide a step by step guide on goal setting, identification of champions, how to inventory existing hardware, software and infrastructure, policies and procedures and staff capacity for an EHR implementation

10:00am - 10:30am

EHR system evaluation and vendor selection
10:30am - 12:30pm

Guides your organization through the product evaluation and selection activities to assure it selects the best possible system to meet its business, clinical, budget and support requirements. This session also provides:

  • Guided processes to assure an accurate “apples to apples” comparison of vendors, products, costs, and other considerations to support a well-informed EHR system vendor and software selection.
  • Prioritized functional and technical requirements.
  • The fundamentals of vendor contracting

EHR implementation planning, workflow redesign and training
1:15pm - 2:45pm
An in-depth planning process that guides your organization through the clinical, business and facility workflow considerations and implications involved in implementing its selected EHR system.

  • Preliminary redesign of workflows and processes addressing key decisions for clinical use and efficiency, business integration and facility changes to achieve maximum value from the EHR system.

An implementation project work plan
3:15pm - 4:15pm

  • Documenting tasks, dependencies, milestones and timelines and delineating responsibilities between your organization and vendor team members.
  • Acceptance testing scenarios and criteria that must be met for milestone payments to the vendor.

Day 2

The second day of the workshop will be focused on more advanced topics including interfaces, post implementation evaluation and how to use your EHR for reporting and quality improvement.

This session will cover different interface considerations for EHRs and how to ensure the data will be effectively moved from one application to another. A detailed overview of interface development, testing and implementation will be covered.

Reporting and quality improvement (Part 1)
10:30am - 12:00pm

Learn how current EHR data can be used to support performance improvement activities, provide information to payors for Pay for Performance, and provide data for the National Health Disparities Collaborative activities. Participants will be given a primer of clinical quality measures including the AQA starter set. Development of a dashboard report to monitor your organization across many areas of activity will be demonstrated.
